A contract written on a number, not on people

By covering a headcount, not a list of people. The Maximum Insurance company pack is taken out on a number of employees: you declare how many people are to be protected, and their names are never requested. That is the whole mechanism, and it is what makes the contract workable when teams turn over, when roles stay open, and when next month's traveller has not been hired yet.

The company pack form follows that logic: the company, the headcount covered, a contact's first name, last name and work email, the chosen plan and the start date. No title, no date of birth, no nationality — the subscriber is not the insured person, they sign on behalf of their company. No destination is asked for either: the pack is taken out on a headcount, not on a list of trips.

What does the company receive after payment?

A general certificate of cover and an invoice, by email, as soon as payment is made. The certificate is issued in the company's name: it carries the company name, the plan subscribed, the headcount covered, collective policy no 20 00 479 and a twelve-month period of cover. It states that the company is covered for the stated headcount of travelling employees, whatever their names.

No nominative card is issued on this route, since there is no named insured. That follows directly from a contract with no named insured — better to know it before you buy than at a consulate counter.

Is the general certificate enough for a visa?

No, and that is the honest trade-off of this contract. A consulate asks for a nominative certificate, in the name of the person travelling; the company pack's general certificate names the company, not the employee. For a visa application, Schengen included, it is the nominative TSM insurance certificate that is accepted.

It is obtained by activating the trip in the Duty of Care OS: name, destination, dates. The official TSM certificate and the insured card are then emailed within 30 seconds, and remain downloadable afterwards — for a visa as much as for an audit. The detail is set out on the Duty of Care page.

An employee joins or leaves: does the contract have to be updated?

No, there is nothing to declare. You insure a headcount, not a list of people: an arrival, a departure, a replacement or a role left vacant requires no contract update. That is precisely what makes this route practicable on a large workforce, where a named list would have to be corrected at every movement — and would rarely be corrected in time.

How do you prove that a person was actually covered?

Afterwards, at the time of the claim, from ordinary employment records: payroll register, employment contract, mission order. The question is not "is this name on the contract?" — no name is — but "did this person belong to the company on that day?". That is what the general certificate itself says.

It is also the first question asked on the day of a claim: because the contract is in the company's name, filing starts by identifying the insured person concerned — the subscriber, or an employee. How much does the cover cost, and how long does it run?

$990 per employee per year for the Pack VIP, $2,290 for the Pack VIP Extreme. The total follows the headcount entered in the form. The contract is paid in a single upfront payment, for a firm 12-month term from the start date you choose; the first renewal date is displayed as soon as that date is entered. The number of trips within the year is not limited, and the tracking software is available 24/7 at no additional cost to your company. The currency is picked above the form — euro, Swiss franc or dollar — and the figure shown is the same in all three.

What is covered, and what the contract does not replace

The Pack VIP covers emergency medical expenses abroad up to CHF/EUR/USD 1,500,000, unlimited medical evacuation and repatriation worldwide, search and rescue up to CHF 50,000, private liability abroad up to CHF 1,000,000 and accidental death or disability up to CHF 150,000. On hospital admission, the TSM/AXA direct payment guarantee settles the hospital bill directly with the facility: that is the subject of the file on an employee hospitalised abroad. The Pack VIP Extreme raises trip cancellation or modification to CHF/EUR/USD 20,000 per person and adds special-risk cancellation up to CHF 5,000 per person.

Two benefits are the exception. The Pack VIP Extreme price also covers crisis management and security (GardaWorld / AXA) and Kidnap & Ransom (GC art. 18.4), but those two are still offered as options, subject to eligibility: the insurer accepts them case by case, and on the à la carte route a selection containing one of them turns into a quote request rather than an immediate payment. Paying the pack price is therefore not the same as being accepted. Finally, cover applies outside the country of residence and is subsidiary to compulsory schemes: it complements them, it does not replace them. Will a consulate accept a certificate issued in the company's name?

No. For a visa, Schengen included, a consulate asks for a nominative certificate in the name of the person travelling, whereas the company pack's certificate names the company and the headcount covered. The nominative TSM insurance certificate is obtained by activating the trip in the Duty of Care OS — name, destination, dates. It is emailed within 30 seconds together with the insured card, and stays downloadable afterwards.

Who should the company name as its contact, and is that contact the insured person?

The company pack form asks for a contact's first name, last name and work email — usually the office manager or the HR director. That contact is not the insured person: they sign on behalf of their company, which is why no title, no date of birth and no nationality are requested. Do you declare the whole workforce or only the employees who travel?

You declare the number of employees to be protected: the general certificate states that the company is covered for the stated headcount of travelling employees, whatever their names. The form accepts from 1 to 10,000 employees and the total follows that number. No list of people and no list of destinations: the company pack is taken out on a headcount.

In a claim, how is it established that a person was part of the headcount?

Afterwards, from ordinary employment records: payroll register, employment contract, mission order. The question is not whether a name appears on the contract — none does — but whether the person belonged to the company that day, which is what the general certificate itself says. The claim is then filed on the official TSM forms, which start by asking who the insured person concerned is.
